What has to be on an Australian tax invoice

A tax invoice is not just an invoice with GST on it. It is a document the ATO requires to contain specific things, because your customer uses it to claim a GST credit. Leave one of them out and a business customer's bookkeeper will send it back — usually a fortnight later, when you were expecting the money.

For a taxable sale of less than A$1,000, the document generally has to show:

  • that it is intended as a tax invoice
  • the seller's identity — your name or business name
  • the seller's ABN
  • the date it was issued
  • what you supplied, including quantity where that applies
  • the GST amount, or a statement such as "Total price includes GST"
  • the extent to which each sale is taxable, if some lines are GST-free

For a sale of A$1,000 or more, add the buyer's identity or ABN. This is the requirement most often missed on a big job, and it is the one most likely to be caught, because it is a larger credit for the customer to claim.

If you are not registered for GST

Then you must not issue a tax invoice at all. Your document is an invoice — no GST line, no "tax invoice" heading, no implication that tax was collected. Charging GST without being registered to collect it is a serious error, not a formatting preference.

You still put your ABN on it. Without an ABN quoted, a business customer may be required to withhold a substantial portion of the payment under the no-ABN withholding rules and remit it to the ATO — which turns a clean invoice into a long conversation about getting your own money back.

Under the A$75,000 turnover threshold, registration is optional. Work out where you sit before deciding, and remember the threshold looks forward as well as back.

Common faults and what they cost

Keeping the records behind them

Records supporting your tax and GST position generally need to be kept for five years and be in English or readily convertible to it. That covers invoices you issue and tax invoices you receive — the second half matters, because a GST credit you cannot support is a credit you may have to repay.

The practical version: keep the document, keep the supplier's tax invoice for anything you claim on, and keep them somewhere that is still readable in five years. Recording expenses as you go turns BAS time and any later question into a lookup instead of a shoebox.

Common questions

Does the document have to say "tax invoice"?
For a taxable sale, it must be clear the document is intended as a tax invoice, and using those words is the simplest way to make that clear. If you are not registered for GST, do not use them.
Do I need the customer's ABN on every invoice?
No — the buyer's identity or ABN is required once the sale reaches A$1,000. Below that, your own details, the date, the description and the GST are what matter.
Can I issue a tax invoice before I am registered for GST?
No. Until your GST registration takes effect you are not collecting GST, so the document is an ordinary invoice without a GST line.
What if I made a mistake on a tax invoice I already sent?
Issue a corrected document rather than editing the original quietly. An adjustment note or a clearly marked replacement leaves both sides with records that agree.
Is an emailed PDF a valid tax invoice?
Yes. There is no requirement for paper. What matters is the required content and that the record is kept and readable for five years.
Does a quote need the same details?
No. A quote is an offer, not a tax invoice, and it should not be labelled one. It is still worth showing your ABN, what is included and how long the price stands.
